Responsibilities

EFFECTIVE USE AND MAINTENANCE OF MATERIALS MANAGEMENT DATABASE      

Maintains transactional information within MMIS.

Demonstrates an understanding of the MMIS and other systems to support customer and department needs.

Demonstrates attention to detail and high degree of transactional and data entry accuracy.

Collects data for tracking, reporting and auditing to assist all levels of management in decision making.

 

CUSTOMER SERVICE

Demonstrates high degree of customer responsiveness as the first avenue toward resolving requesters’ supply and equipment concerns.

Meets required customer deadlines and provides timely feedback.

Demonstrates flexibility, patience, and resolve.

Educates customers regarding proper acquisition procedures.

Pro-actively analyzes MMIS data reports to make recommendations for efficient and effective management of our customers’ supplies and equipment.

Communicates effectively with our customers.

 

MATERIAL SERVICE RESPONSIBILITIES

Maintains daily flow of supplies and equipment to meet the needs of facility..

Assists customers in the placement of orders in a timely and efficient manner and monitors supply and equipment back-orders and aggressively follows up on delivery delays or problems.

Works with Purchasing and customers to actively seek alternative and/or substitute products.

Works with customers, receiving, accounting and vendors to eliminate or solve receiving exceptions and invoice discrepancies.

Serves as primary MMIS contact for training users and leadership.

Tracks loans and borrows, transfers, repairs, exceptions, returns and other transactions as required.

Ensures availability of supplies and equipment and establishes/maintains appropriate inventory levels while maintaining proper inventory turns.

In collaboration with Purchasing, recommends the most economical source of supplies and equipment, taking into account that quality of patient care must not be compromised.

Participates in problem solving and cost reduction efforts.

Ensures the proper receipt, inspection and prompt delivery of supplies and equipment.

Monitors, audits and ensures receiving staff are trained in proper receiving policies and procedures and that all exceptions are documented.

Ensures product returns and exceptions are efficiently and cost effectively processed with vendors.

 

CONTINUOUS IMPROVEMENT

Provides feedback and data to management and customers for the purpose of cost reduction, problem resolution, process streamlining and improved customer service.

Strives for continuous education and training for team members and their customers to ensure an efficient supply chain.

Participates in periodic departmental meeting between department managers and their staff for continued improvements of unit Pars and Templates.

Supplies quarterly report to department management for review and decision making.

Serves as member of Supply and Equipment Committees, Code Cart Committees, Safety Committees and others as needed.

 

Qualifications

Education:

Associates degree or equivalent experience in inventory management and/or distribution required. Bachelor’s degree is desired. 

 

Experience:

One to two years of experience in medical supplies and equipment preferred. Must be able to perform functions in Microsoft Office and other computer applications in a network setting. Demonstrated ability to perform data entry. Possess knowledge of medical terminology, medical supplies and equipment.

 

Skills:

Demonstrated customer service orientation.

Analytical skills, computer experience is required. Must possess keyboard skills and ability to navigate electronic systems applicable to job functions.

Familiarity with materials management, purchasing and accounts payable operations.

Familiarity with healthcare supplies and equipment.

Detail orientation and data entry accuracy is essential.

Must possess good organizational skills.

Ability to speak, read and write English effectively.

Excellent interpersonal and problem-solving skills.

Ability to work with a wide variety of people in a professional and effective manner.

Ability to work under pressure of deadlines.
