Responsibilities

  • Collaborates with Central Sterile and Operating Room (OR) teams to ensure availability of surgical implants and related instrumentation for procedures.

  • Proactively checks upcoming OR schedules to identify implant and instrument needs in advance.

  • Coordinates intra-facility loan and borrow processes for instruments and equipment.

  • Monitors and tracks patient-specific implants, consignment items, and instrumentation daily.

  • Follows up on all implant and equipment transactions to meet OR patient care expectations.

  • Requests and monitors pre-authorizations for high-profile or designated supplies, equipment, and implants.

  • Creates and routes requisitions in Lawson; serves as a resource for locating hard-to-find items.

  • Coordinates the return of unused implant-related items with vendors or internal departments.

  • Collaborates with CS staff, OR team, Receiving, Accounting, and vendors to resolve invoice and receiving discrepancies, working alongside the Surgical and Interventional Services Business Coordinator.

  • Tracks and maintains documentation for loans, borrows, transfers, repairs, consignments, and Patient Specific Product (PSP) transactions.

  • Actively follows up on back-ordered implants and instruments, ensuring timely resolution of delays.

  • Provides input into budget development and supports cost-effective practices; assists with tracking financial issues and capital instrument purchases.

  • Audits post-case charges and ensures correct patient-specific implant pricing is recorded on charge sheets.

  • Manages equipment and instrument repairs in coordination with Biomedical Engineering or vendors, ensuring rapid turnaround or substitutions.

  • Works with Patient Business Services on billing, reconciliation, reporting, and auditing issues.

  • Oversees acquisition, delivery, return, and reconciliation of surgical implants used in the OR or processed through Central Sterile.

  • Recommends cost-effective sourcing of supplies without compromising patient care quality.

  • Provides cost and pricing information to management and updates the charge master system as needed.

  • Routes incomplete or unclear charting related to implants to managers for staff education follow-up.

  • Supports education efforts for new equipment and supplies; collects data on product efficacy and facilitates implementation.

  • Serves as a troubleshooting resource for staff dealing with equipment issues.

  • Verifies and documents delivery and pick-up of PSP items; audits PSP documentation across shifts.

  • Maintains and updates the Central Sterile Instrument Tracking System.

  • Assists with initiating NPI processes for consignments and PSPs in collaboration with Surgical Specialty Charge Nurses.

  • Manages non-stock implant orders, deliveries, and set placements.

  • Oversees and audits the Loan/Borrow process for accuracy and compliance.

  • Monitors and reorders implant backstock as needed to support surgical needs.

Qualifications

Education:

  • Requires high school diploma or equivalent.
  • One to two years’ college education in business or health-related field, or related experience in distribution or inventory of medical supplies and equipment preferred.

Experience:

  • Two years' experience with any combination of Surgical Scrub Tech, Central Sterile Tech, and/or procurement of supplies, services and equipment preferably in a hospital setting required. 
  • Prior experience with surgical instrumentation strongly preferred.

Skills:

  • Keyboard skills and ability to navigate electronic systems applicable to job functions.
  • Medical terminology & knowledge of medical supplies and equipment required. 
  • Requires familiarity with purchasing and inventory control standards and practices, ability to effectively speak, read and write English. 
  • Must demonstrate attention to detail.

Pay Range

USD $29.30 - USD $41.90 /Hr.
